Internet Rechartering

Lost or forgotten your access code? Contact your District Commissioner-click here for District Commissioner contact information

If you have any questions, comments or information you would like to share with the group please email Richard Duran at duranr@sbcglobal.net.  I will post all relevant information at the bottom of the helpful tips.

Helpful Tips

1. BE SURE THAT YOUR CHARTER IS CORRECT PRIOR TO SUBMISSION TO THE COUNCIL.  NO ELECTRONIC CHANGES CAN BE MADE ONCE IT IS SUBMITTED TO THE COUNCIL.  ALL ADDITIONAL CHANGES WILL HAVE TO BE COMPLETED ON PAPER.

2. Need your access code every time you want to log into the system.

3. Be very careful when deleting Tiger Cub partners, if you delete a TC partner and not the tiger cub the system will ask for the Partner information or you must delete the tiger cub.

4. I had trouble getting back to the add adult feature but found "tabs" at the bottom of the "Check Roster" screen.  There are also other tabs that will direct you to other locations.

5.One very cool feature for Troops, Teams and Crews that have older boys who are moving to adult status.  There is a "Promote" feature that allows you to flag a youth member to adult status.

6.At the end of the Internet Re-chartering you will come to a page called "Validation".  This is where the system will tell you everything that needs some "attention" prior to moving forward.  A hint is to print the screen by hitting your right button on your mouse while the cursor is on the page and click on print from the pop-up menu.  I had a problem remembering the name of the youth I was working with and had to flip back to the validation page.

7. At the Update fees page there is a button on the bottom of the screen that will validate 100% Boy's Life.  Hitting this button will check that all boys are receiving Boys life.  It will validate a Boy's Life Magazine is being sent to brothers and/or same address.  There is a mechanism for the recharter person to override the 100% if a youth is not receiving Boy's Life but the leader knows that they are receiving it.  This feature will also provide you with the name and address of each youth that is not marked as subscribing to Boy's Life.

8. Adults listed in more than one unit-at the "update fees" page you will need to update each adult that is registered with another unit.  Mark "member paid in another unit" then click the unit type from the drop down box. Then you will be asked to enter the unit number.  Remember unit numbers are 4 digits, i.e. 0999.

9. One very cool feature is that after you submit your charter to the council.  You will be asked if you would authorize to pay the fees through your council account.

10. Make sure to read the dialogue box prior to submission to the council.

11. Follow the directions on printing charter, quality unit application and the charter agreement.

The Sequoia Council is excited to offer Internet Rechartering to your unit.  This new method for rechartering will make the whole process easier because you'll be completing the charter renewal information yourself-which ensures that it will be correct- and you can do it from your home or office anytime that it's convenient for you.

Internet Rechartering is a web-based application that lets you process the important parts of your charter renewal paperwork online! If you are tired of crossing out and writing in updated information on your Roster reports, then Internet Rechartering is for you. With Internet Rechartering, you can indicate returning members, add new members, and update information for an individual or the chartered organization.

Get Ready for Internet Rechartering

  • Assign someone in your unit to be in charge of Internet Rechartering. This person is called the "Recharter Processor." It is not necessary for this person to have rechartering expertise, but it is helpful. If you use Troopmaster or Packmaster your Recharter Processor will work closely with this person to make sure that both systems reflect accurate information.
  • Attend one of the training sessions in order to get your Unique Unit Access Code
  • Pick up your Charter Renewal Packet – they will be available at upcoming Roundtables.
  • Visit the online tutorial to become familiar with the overall process
  • Review the information on the Frequently Asked Questions page (FAQs)
  • Make sure your roster is as up to date as possible.
  • Gather completed adult applications for all adults that you will add to your unit during the Internet Rechartering proccess.
  • Gather completed youth applications for all scouts that you will add to your unit during the Internet Rechartering proccess.

To Renew your Charter Online

  • As early as November 1st, the renewal processor clicks Recharter Now below and begins the process.
  • When the online process is completed, the renewal processor prints the completed charter renewal application.
  • The unit leader and the chartered organization representative sign the charter renewal application. Bring the application along with the material you received in your recharter packet, and all appropriate fees to the Service Center.

What's Different?

Not much. You still need to update your roster:

  • Review information about your chartering organization
  • Add new scouts as necessary
  • Remove any non-continuing scouts
  • Add new adults in leadership positions
  • Update position information for continuing adults
  • Get the proper signatures on your recharter paperwork
  • Turn in the recharter paperwork along with applications for new adults and scouts, and your fees to the Council Offices.

But...

  • Gone is the need to manually cross off non-returning adults and scouts
  • Gone is the need to write out all of the information for new adults and scouts
  • Gone is the need to cross out and update information on existing scouts and adults
  • The system checks to make sure that you have the right positions filled (Scoutmaster, Cubmaster, Advisor, etc.)
  • The system automatically calculates your fees for you.
  • The system will print out your recharter paperwork for you - you just need to get it signed!

Where to Go for Help

This is a new process and is very straight-forward. But, like anything new, you may need some help in getting started using Internet Rechartering.  You Unit Commissioner should be your first resource, and if additional help is needed, see your District Executive. You can contact your District Executive at the following service centers:

Fresno Service Center at (559) 320-2100 or the Visalia Service Center at (559) 732-3424
